本プライバシーポリシー（以下「本ポリシー」）は、株式会社YUYUKA here（以下「当社」）が提供するSaaSサービス「ecomPilot AI」（eBay等のマーケットプレイス向けAI返信支援ツール）における個人情報の取り扱いについて定めるものです。

本サービスの販売、契約および通常サポートの対象は、原則として日本国内のeBayセラーです。ただし、本サービスは、セラーのeBayメッセージ対応を支援するため、世界各国のeBayユーザーから送信されたメッセージおよび関連情報を処理する場合があります。

2.1 セラーおよびeBay連携に関する情報

• eBay OAuthアクセストークン、リフレッシュトークン、認可スコープおよび有効期限情報
• eBayアカウントを識別するために必要な情報
• ecomPilot AIの認証、契約および設定に関する情報
• サービスの操作履歴ならびに障害・セキュリティログ

当社がeBayのパスワードを取得または保存することはありません。

2.2 eBayメッセージおよび商品に関する情報

セラーがeBay上で受信したメッセージを当社サーバに同期する際、以下の情報を取得します。

• 買い手およびセラーのeBayユーザー識別子
• メッセージ本文、件名、送受信日時、メッセージIDおよび返信状態
• Item ID、商品名、商品URL、商品画像等、メッセージ対応に必要な商品情報
• セラーがサービス内で入力または管理する追跡情報、対応状況およびメモ

2.3 本サービスが生成する情報

• AI返信ドラフト、翻訳、要約、分類、信頼度および対応優先度
• SLA、未読状態、スヌーズその他の運用管理情報

2.4 Webサイトおよびアプリの利用に関する技術情報

• IPアドレス、アクセス日時、閲覧ページおよび参照元
• ブラウザ、端末、OSおよびCookie等の識別情報
• エラー、性能およびセキュリティに関するログ

取得した情報は、以下の目的のために利用します。

• AIによる返信ドラフトの生成
• 未返信メッセージのSLA監視・アラート通知
• クレーム・エスカレーションの判定
• メッセージの分類・翻訳・要約
• 統計処理による品質改善（個人を特定しない集計処理に限る）
• サービスの認証、セキュリティ確保、不正利用防止、障害調査およびサポート
• eBayから受領するMarketplace Account Deletion / Closure Notificationへの対応
• 法令、eBay API License Agreementおよび適用されるプラットフォーム規約の遵守

AIが生成する返信、翻訳、要約、分類および信頼度は、セラーの業務を支援するための参考情報です。一般提供版では、メッセージの送信前にセラーが内容を確認し、送信の要否および最終内容を決定します。当社は、本人に法的効果またはこれに類する重大な影響を与える判断を、AIのみによって行いません。

4.1 データ処理を委託する第三者（サブプロセッサ）

サービス提供のため、以下の第三者にデータ処理を委託しています。

当社は、Google Gemini APIを有効なCloud Billingアカウントに紐づく有償サービスとして利用します。有償サービスに送信されたプロンプトおよび生成結果は、Googleの製品またはモデルの改善には使用されません。ただし、不正利用の検知・防止、セキュリティ維持および法令対応のため、Googleが限定期間ログを保持する場合があります。当社は、AI処理に不要な識別情報を送信しないよう、送信データを必要最小限に限定します。

有償サービスとしての利用条件を満たせない場合、個人情報を含むメッセージのAI処理は実行しません。

4.2 第三者への提供の禁止

前項の委託先を除き、当社は買い手・セラーの個人情報を第三者に販売・提供・広告目的で共有することは一切ありません。ただし、以下の場合は例外とします。

• 法令に基づく開示請求があった場合
• 本人の生命・身体・財産の保護に必要であり、本人の同意を得ることが困難な場合

4.3 国外における取扱い

当社が利用するクラウド、AI、通知およびアクセス解析サービスの提供に伴い、個人データが日本国外、主として米国その他各サービス提供者またはその再委託先が設備を有する国・地域で処理または一時保存される場合があります。当社は、委託先との契約、データ処理条項、アクセス制御、暗号化、保存期間の制限および委託先の安全管理措置の確認等により、必要かつ適切な監督を行います。具体的な移転先および保護措置については、本人からの求めに応じて法令の範囲内で情報を提供します。

当社は、取得した情報を、本ポリシーに定める利用目的の達成に必要な期間に限り保管します。具体的には、以下の条件のうち最も早く到来した時点を基準として、遅滞なく削除または匿名化します。

• セラーがeBay連携を解除したとき、ecomPilot AIの利用を終了したとき、または削除を請求したとき
• eBayまたは対象となるeBayユーザーから削除を求められたとき
• 当該情報がサービス提供のために不要になったとき
• 当社のeBay Developers Programへの参加または該当アプリケーションの提供が終了したとき

データ区分ごとの取扱いは以下のとおりです。

• eBay OAuthアクセストークンおよびリフレッシュトークン: 連携解除、有効期限切れ、サービス終了または削除請求の時点で削除します。
• メッセージ、eBayユーザー識別子、商品情報、AI生成ドラフト・翻訳・要約: サービス提供に必要な期間のみ保管し、前記の削除条件が発生した場合は遅滞なく削除します。
• アプリケーションログ: 原則として30日以内を目安にローテーションまたは削除します。

法令により一定期間の保存が必要な情報については、当該法令の遵守に必要な範囲に限ってアクセスを制限したうえで保管し、保存義務終了後に削除します。

本サービスはeBayのMarketplace Account Deletion / Account Closure Notification Workflowに購読・準拠しています。

eBayから買い手のアカウント削除通知を受領した場合、通知の署名を検証したうえで、該当ユーザーに紐づく会話・メッセージ・返信ドラフト・関連レコードを当社データベースから物理削除します。削除は自動的に、通知受領から遅滞なく実行されます。

買い手・セラーは、当社が保有する自身に関する個人情報について、以下の権利を有します。

• 開示請求権: ご自身の情報の内容を確認する権利
• 訂正・追加・削除請求権: 誤った情報の訂正、削除を求める権利
• 利用停止・消去請求権: 情報の利用停止を求める権利

これらの請求は、[email protected]までご連絡ください。ご本人確認のうえ、受領から14日以内に対応いたします。

当社は、取り扱う情報の漏えい、滅失、毀損および不正アクセスを防止するため、以下を含む必要かつ適切な安全管理措置を講じます。

• 通信経路のTLSによる暗号化
• アクセス制御されたデータストアおよびクラウド保存領域における暗号化
• 認証、権限管理および取扱担当者の限定
• APIキー、OAuthトークンその他の機密情報のサーバ側管理
• 障害調査およびセキュリティ監視に必要な範囲に限定したログ管理
• 委託先の選定、契約および取扱状況の確認

サーバログに技術識別子が含まれる場合は、アクセスおよび保管期間を制限します。メッセージ本文その他の個人情報をログへ記録する場合は、障害調査等に必要な最小限の範囲に限定します。

ecomPilot AIでは、認証、セキュリティおよびサービス設定の維持に必要なCookieまたはこれに類する技術を使用する場合があります。

また、本ポリシーを掲載する当社Webサイトでは、利用状況を把握し改善するため、Google Analytics 4を使用しています。Google Analyticsにより、Cookie識別子、閲覧ページ、アクセス日時、参照元、ブラウザ・端末情報および概算地域等がGoogle LLCに送信される場合があります。これらの情報を、ecomPilot AIに保存されたeBayメッセージやバイヤー情報と結び付けて広告配信に利用することはありません。

Cookieはブラウザの設定により無効化できます。ただし、必須Cookieを無効化した場合、サービスの一部が正常に動作しないことがあります。

本ポリシーは、法令改正・サービス内容の変更等に応じて改定する場合があります。改定した場合は、本ページに掲載した時点で有効となります。

重要な変更を行う場合は、変更内容および効力発生日を本ページまたはサービス内の分かりやすい方法で事前に通知します。過去の版は、法令上または運用上必要な期間、当社が管理する記録として保存します。

This Privacy Policy (“Policy”) describes how YUYUKA here Co., Ltd. (“we”, “us”, “our”) collects, uses, and shares personal data in connection with our SaaS service ecomPilot AI, an AI-powered reply assistance tool for eBay and other marketplaces.

The Service is sold, contracted, and normally supported for eBay sellers located in Japan. However, in order to assist Sellers with their eBay message handling, the Service may process messages and related information sent by eBay users located in any country.

2.1 Seller and eBay Integration Information

• eBay OAuth access tokens, refresh tokens, authorization scopes, and expiry information
• Information necessary to identify the eBay account
• Authentication, contract, and configuration information for ecomPilot AI
• Operation history and fault/security logs

We never collect or store your eBay password.

2.2 eBay Message and Item Information

When we synchronize eBay messages received by a Seller, we collect:

• eBay user identifiers of buyers and the Seller
• Message body, subject, timestamps, message IDs, and reply status
• Item ID, item title, item URL, item images, and other item information needed to handle the message
• Tracking information, handling status, and notes entered or managed by the Seller within the Service

2.3 Information Generated by the Service

• AI reply drafts, translations, summaries, classifications, confidence indicators, and handling priority
• SLA status, unread status, snooze, and other operational management information

2.4 Website and Application Technical Information

• IP address, access time, pages viewed, and referrer
• Browser, device, OS, and cookie identifiers
• Error, performance, and security logs

We use the collected information for the following purposes:

• Generation of reply drafts using AI
• SLA monitoring and alerting for unresponded messages
• Detection of claims and escalations
• Message classification, translation, and summarization
• Statistical processing for service improvement (aggregated data only; no individual identification)
• Authentication, security, abuse prevention, incident investigation, and support
• Responding to eBay Marketplace Account Deletion / Closure Notifications
• Compliance with applicable law, the eBay API License Agreement, and applicable platform policies

AI-generated replies, translations, summaries, classifications, and confidence indicators are provided solely to assist Sellers. In the generally available version of the Service, the Seller reviews the content and decides whether and how to send a message. We do not make decisions based solely on automated processing that produce legal or similarly significant effects on an individual.

4.1 Sub-Processors

We entrust data processing to the following third parties:

We use the Google Gemini API as a Paid Service through a Cloud Project with an active Cloud Billing account. Under Google’s terms for Paid Services, prompts and responses are not used to improve Google’s products or models. Google may retain limited logs for abuse prevention, security, legal, or regulatory purposes. We limit the data submitted for AI processing to what is reasonably necessary for the requested function.

If the conditions for use as a Paid Service cannot be met, we do not perform AI processing on messages containing personal information.

4.2 No Sale or Advertising Sharing

Except for the Sub-Processors listed above, we do not sell, share, or otherwise provide personal information of Buyers or Sellers to any third party for marketing, advertising, or commercial purposes. Exceptions apply only when:

• Disclosure is required by applicable law; or
• Disclosure is necessary to protect the life, body, or property of any person and obtaining consent is difficult.

4.3 International Processing

Our cloud, AI, notification, and analytics providers may process or temporarily store personal data outside Japan, primarily in the United States and in other locations where they or their sub-processors operate facilities. We apply contractual, organizational, and technical safeguards, including data processing terms, access controls, encryption, retention limits, and oversight of service providers. Upon request, we provide information about the recipients and safeguards to the extent permitted by law.

We retain personal data only for as long as necessary for the purposes described in this Policy. We delete or anonymize the data without undue delay when the earliest of the following occurs:

• the Seller disconnects eBay, terminates use of ecomPilot AI, or requests deletion;
• eBay or the relevant eBay user requests deletion;
• the data is no longer necessary for the specific purpose for which it was processed; or
• our participation in the eBay Developers Program or operation of the relevant application ends.

Data categories are handled as follows:

• eBay OAuth access and refresh tokens: deleted upon disconnection, expiry, service termination, or a deletion request.
• Messages, eBay user identifiers, item information, and AI-generated drafts, translations, and summaries: retained only for as long as necessary to provide the Service, and deleted without undue delay when any of the above conditions occurs.
• Application logs: rotated or deleted within approximately 30 days as a general rule.

Where retention for a defined period is required by law, we retain such information with restricted access, limited to what is necessary for compliance, and delete it once the retention obligation ends.

This service is subscribed to and compliant with the eBay Marketplace Account Deletion / Account Closure Notification Workflow.

Upon receiving a valid account-deletion notification from eBay (verified via cryptographic signature), we will hard-delete all conversations, messages, reply drafts, and related records tied to the affected user from our database. The deletion is executed automatically and without undue delay.

Buyers and Sellers have the following rights with respect to their personal data held by us:

• Right of access: To confirm the content of their data
• Right to rectification / addition / deletion: To correct or delete inaccurate data
• Right to restrict processing: To request that use of their data be suspended

We implement necessary and appropriate safeguards to prevent leakage, loss, damage, and unauthorized access to the information we handle, including:

• Encryption of communications via TLS
• Access-controlled data stores, encrypted at rest by our cloud data-store infrastructure
• Authentication, permission management, and limitation of personnel who handle the data
• Server-side management of API keys, OAuth tokens, and other confidential information
• Log management limited to what is necessary for incident investigation and security monitoring
• Selection of, contracting with, and oversight of service providers

Where server logs contain technical identifiers, we restrict access to them and limit their retention period. Where message content or other personal information is recorded in logs, we limit it to the minimum necessary for incident investigation and similar purposes.

The Service may use cookies or similar technologies that are necessary for authentication, security, and service settings.

The corporate website hosting this Policy uses Google Analytics 4 to understand and improve website usage. Google Analytics may process cookie identifiers, page views, access times, referral information, browser and device information, and approximate location, which may be sent to Google LLC. We do not combine this analytics information with eBay messages or buyer information stored in ecomPilot AI for advertising purposes.

You can disable cookies through your browser settings. However, if strictly necessary cookies are disabled, parts of the Service may not function correctly.

We may amend this Policy from time to time in response to changes in law or service. Amendments take effect upon publication on this page.

For material changes, we will provide advance notice of the content and effective date on this page or through a clearly visible method within the Service. Prior versions are retained as our internal records for the period required by law or operational necessity.
